The application verification process ensures that only eligible applicants are enrolled in a course intake, while maintaining compliance with contractual limits and system configurations. After the company submits applicants for a course intake, the system automatically categorises each applicant as either a package learner – those covered under the contract’s fixed learner count – or as an additional learner, based on the order of submission. This distinction helps streamline billing and enrolment management.
After applications are submitted, go to Application management > Pending verification tab.
Then, click an application to go to the application evaluation page where you can check the application details and approve or reject applications according to the course requirements and available slots.
The system checks that the total number of approved applicants does not exceed the combined limit of package learners and additional pax set during intake configuration.
If the maximum limit is reached, the system blocks further approvals and displays an inline error message indicating the cap.
To check whether an applicant is identified as a package learner, go to the All applications tab and check the value displayed in the Is Package Learner? column.

The issuance of invoices for Youth Camp packaged applications can be carried out in multiple stages, supporting staged billing aligned with deposit and balance payments. This allows administrators to separately handle contractual learners and additional participants.
•Issue deposit invoice – This initial bill does not include individual learner details, as full enrolment may not be finalised.

To issue the deposit invoice, go to All applications tab and click Issue deposit invoice. Please note that this is a one-time action that cannot be triggered again and cannot be reverted.
•Issue invoice with a list of package learners – This second bill covers the remaining balance of the contracted package fee and includes a list of all package learners.

•Issue additional invoices if applicable – If there are additional learners beyond the package limit, you can issue an additional invoice that includes charges and information of the additional learners.
